We are looking for an experienced Office Manager based in our Newton, MA based office which is our primary location in the United States.
o Perform administrative duties in the office and ensure that office is operating smoothly
o Manage office supplies inventory and place orders as necessary
o Manage relationship with building management, office vendors, suppliers, contractors
o Maintain relationships with our growing number of Earnix North America (NA employees)
o Perform receptionist duties: greet visitors, and answer and direct phone calls
o Receive and sort incoming mail and deliveries, and manage outgoing mail
o Assist with office renovation and rebranding, and with managing and maintaining IT infrastructure
o Provide other administrative support as necessary, including scheduling group meetings, keeping calendars, doing research, and creating reports
o Performs administrative duties for the CMO, the Head of Insurance, NA, the Head of Professional Services, NA, and the HRBP, NA.
o Be the focal point for Corporate and global functions on all relevant topics above
o Purchase and manage deliveries of customer presents and employees presents as directed by relevant managers
o Support the Marketing department with NA conferences and other NA-related marketing activities
o Maintain local storage of all relevant marketing materials
o Support internal communications initiatives with NA Earnix Employees
o Assist in organizing team events
o Schedule onboarding meetings for new hires
o Screen resumes, schedules candidate interviews, conducts reference checks
o Act as liaison between Earnix and Trinet, third party payroll and benefit vendor
o Act as a liaison between Corporate Finance and the North American team, ensuring vendors are paid appropriately, customer payments are handled; oversee all payments and purchasing
o Support NA employees with the use of the Earnix travel system and other travel-related questions. Act as liaison with travel agents, including invoicing.
o Support in ordering flights and hotel rooms for NA employees upon travel.
o When needed, organize special hotel rates, mainly when groups travel occurs, or multiple usages of the same hotel/chain are required
o Bachelor's degree in business administration, communications, or a related field
o Minimum 3 years of work experience in an administrative/office management role, preferably in a global company
o Must have exceptional attention to detail
o Strong organizational and time management skills, and ability to prioritize
o Must be a self-starter and driven
o Excellent communication and interpersonal skills
o Strong problem-solving skills and analytical abilities
o Must be proficient with Microsoft Office
